USA Trade Fairs — Which City, and What to Know Before You Go

The United States hosts more trade shows than any other country, and the scale is genuinely different: the largest American convention centres are two to three times the size of anything in Europe. McCormick Place in Chicago alone offers more exhibition space than most European venues have in total.

These 428 events are spread over 127 venues, and the strongest sectors are Business Services & Professional, Home & Interior and Entertainment, Media & Culture.

The practical consequence is that American shows are big, the cities hosting them are far apart, and the costs — particularly the ones that do not appear in the advertised price — catch out first-time visitors from abroad.

The major venues

McCormick Place is the largest convention centre in North America. For comparison, 2.67 million square feet is roughly 248,000 m² — larger than any single venue in Germany, and that is exhibition space alone.

Las Vegas dominates, and the reasons are structural

Las Vegas has been named the number one trade show destination in North America for over 25 consecutive years, and it is not close. Three things explain it.

Capacity. The city offers around 14 million square feet of meeting space across the Convention Center, Venetian Expo and Mandalay Bay combined. No other American city has that much in one place.

Hotel supply. Las Vegas has more hotel rooms than any other US city by a wide margin, which is why shows drawing 100,000+ attendees can be held there at all. Elsewhere, an event that size overwhelms the local market.

Recent investment. The Convention Center's West Hall opened in 2021 after a $1 billion expansion, adding 1.4 million square feet — including 328,000 sq ft of column-free space, the largest in North America. Underneath the 200-acre campus runs the LVCC Loop, an underground tunnel system moving attendees between halls in Tesla vehicles. Whatever you make of that, it solves a real problem: crossing a campus this size on foot takes a while.

Which city for which sector

The pattern follows industry geography. Chicago's shows reflect the Midwest's manufacturing base, Boston and San Francisco draw the biotech and software worlds that cluster around them, and Las Vegas takes everything else because it has the room.

Entry — apply before you book flights

The B-1 timeline is the thing to plan around. Interview appointment waits at US consulates range from days to well over a year depending on the country. If you need a visa and your event is in six months, start now rather than later. Ask the organiser for an invitation letter — most large US shows provide these, and they help.

ESTA holders should note it is tied to your passport. A new passport means a new ESTA, and travelling on an expired authorisation means being turned away at check-in rather than sorted out on arrival.

One thing that surprises people: attending a trade show as a visitor is normally fine on either ESTA or B-1, but working a stand can sit differently depending on what you are doing. If you are exhibiting rather than visiting, check with the organiser what your activity requires.

Money — three things that are not in the price

American pricing conventions differ from most of the world in ways that add up over a week.

Resort fees. Hotels in Las Vegas, Orlando, Miami Beach and increasingly elsewhere add a mandatory daily "resort fee" or "destination fee" on top of the advertised room rate. It is not optional, it is not always prominent at booking, and over five nights it is a meaningful sum. When comparing hotels, compare the total including fees rather than the headline rate.

Sales tax is added at the till. Displayed prices exclude it, and the rate varies by state and even by city — anywhere from zero to over 10%. The number on the shelf is never the number you pay.

Tipping is higher than almost anywhere. Restaurants: 18–20% is now standard, and payment terminals will suggest more. Taxis and rideshare: 15–20%. Hotel housekeeping and bellhops: cash, per day or per bag. This is not discretionary in practice — service staff wages assume it.

Distances are the other American surprise

The United States is roughly the size of Europe, and its trade fair cities are spread across it. New York to Los Angeles is a six-hour flight and three time zones. Chicago to Las Vegas is over four hours.

Combining two American shows in one trip means a domestic flight, not a train — passenger rail is limited outside the Northeast Corridor. Budget a full day for any city-to-city move, and remember that domestic security queues and delays are routine.

Within cities, public transport quality varies enormously. New York, Chicago, Boston and San Francisco have genuine metro systems. Las Vegas, Orlando, Dallas and Houston effectively require taxis, rideshare or a rental car — plan on Uber or Lyft rather than assuming you can get around otherwise.

Season and timing

The US show calendar runs year-round, but geography shapes it. Chicago, Boston and New York have severe winters with genuine flight disruption from snow. Las Vegas, Orlando and Miami Beach host heavily in winter precisely because their weather is good then — and become uncomfortable in high summer.

Two dates to know about: CES in early January fills Las Vegas completely — hotel rates multiply and availability disappears months ahead. Thanksgiving, in late November, effectively closes American business for most of a week and makes flights expensive and full.

Practical notes

Currency is the US dollar. Cards are accepted everywhere and contactless is now standard, though some smaller venues still ask for a signature.

Power sockets are 110V with flat two-pin plugs — different from Europe, the UK and most of Asia. Bring an adapter; most modern electronics handle the voltage, but check anything with a motor or heating element.

Business culture is direct and fast. Meetings start on time and get to the point quickly, first names are used immediately regardless of seniority, and enthusiasm is expressed more openly than in Germany or the United Kingdom. A polite "let's follow up" often genuinely means it.

Badge scanning is universal at US shows, and exhibitors will scan yours constantly. Expect follow-up emails from everyone whose stand you visited — this is normal practice rather than a data breach.
