Boston's trade fair calendar is narrower than Las Vegas or Chicago and considerably more specialised. This is the world's densest cluster of biotech, pharmaceutical and academic research organisations, and the events held here reflect that — if your work touches life sciences, the people you need to meet are already in this city.

The concentration is real rather than promotional. Kendall Square in neighbouring Cambridge is often described as the most innovative square mile on earth, with hundreds of biotech firms, MIT, and the research arms of most major pharmaceutical companies within walking distance of each other. A Boston conference draws from that pool before anyone flies in.

The venues

Boston has two main convention venues and they serve different purposes.

BCEC is the larger and newer, sitting in the Seaport District — an area that barely existed twenty years ago and is now Boston's fastest-growing neighbourhood, full of biotech offices and new hotels.

Hynes is in Back Bay, connected to the Prudential Center complex, and sits in the middle of the walkable city. For a mid-size conference where delegates want to be somewhere with character rather than on a redeveloped waterfront, it is the better location.

Check which one your event uses — they are around 20 minutes apart and call for different hotels.

Getting there

Logan International (BOS) is unusually close to the city — around 3 miles from downtown, and one of the shortest airport-to-city distances of any major American airport. This is a genuine advantage over Chicago or New York.

To BCEC: the Silver Line bus rapid transit runs directly from every Logan terminal to the World Trade Center stop at the convention centre. It takes around 10–15 minutes and is free when boarding at the airport — a detail many visitors miss and one of the best-value airport transfers in the country.

To Hynes: take the Silver Line to South Station, then the Red Line and Green Line, or simply take a taxi — around 20 minutes.

Around the city: the MBTA — universally called "the T" — is the oldest subway system in the United States and covers the centre reasonably well. Pay with contactless card or a CharlieCard. The Green Line is slow and often crowded; the Red Line is more reliable.

Boston is genuinely walkable, unusually so for an American city. The centre is compact, and the streets follow no grid at all — they grew from cow paths and colonial lanes, which makes navigation confusing but the scale pleasant. For distances under 20 minutes, walking is often faster than the T.

Where to stay

• Seaport District: Walking distance to BCEC, newest hotels in the city, and where much of the biotech industry now sits. Practical for exhibitors, though the area still feels somewhat unfinished in the evening.
• Back Bay: Best for Hynes events, and the most pleasant central option — Newbury Street, brownstones, good restaurants. The default if you want to enjoy the city.
• Downtown and the Financial District: Between the two venues, well connected, business-oriented.
• Cambridge (Kendall Square): Across the river, one Red Line stop from downtown. Worth considering if your meetings are with biotech firms rather than at the convention centre — many of them are here rather than in Boston proper.

Boston hotel rates are high — comparable to New York at peak, and the city has less supply. Two periods make it worse: university graduations in May, when tens of thousands of families arrive across dozens of institutions, and early September, when students return. Both fill the city independently of any conference.

Entry

Visitors from Visa Waiver Program countries need an ESTA, applied for online at least 72 hours before travel and valid two years, tied to your passport.

Other nationalities need a B-1 business visa requiring an in-person interview, with appointment waits ranging from days to well over a year depending on the country. Start early and ask the organiser for an invitation letter.

A note specific to life sciences events: if you are bringing research samples, laboratory equipment or biological materials, requirements go well beyond the usual customs process. Check with the organiser and the relevant US agencies early — this is not something to resolve at the border.

Weather and timing

Boston winters are severe and disruptive. Nor'easters — coastal storms — bring heavy snow between December and March, and Logan closes or delays regularly when they hit. If your event is in that window, allow a buffer day around your flights and pack properly.

Autumn is the best season and the conference calendar knows it: September through early November is mild, clear, and the surrounding New England countryside is at its most striking. Spring is unpredictable — April can be genuinely cold.

Summer is warm and humid but pleasant, and the city empties somewhat as students leave.

Practical notes

Sales tax in Massachusetts is 6.25%, added at the till. Clothing under a certain price is exempt, which occasionally surprises visitors.

Tipping is 18–20% in restaurants and expected for taxis, bars and hotel staff.

The academic calendar shapes the city more than in most places. Boston and Cambridge host over 250,000 students across dozens of institutions. Term dates affect hotel availability, restaurant crowds and even traffic patterns — the first week of September and mid-May are the notable pinch points.

Business culture is more formal than San Francisco and less brash than New York. Credentials matter here in a way they do not elsewhere — this is a city where people mention where they studied. In life sciences particularly, technical depth is expected in conversation rather than saved for the follow-up.

If you have a free half-day, the Freedom Trail is a marked walking route through the colonial city and takes a couple of hours. Cambridge and Harvard Square are a short Red Line ride and worth seeing if you have never been.
