Vancouver Trade Fairs & Business Events — Visitor Guide

Vancouver has the most striking convention venue in Canada and the mildest winter — two things that matter more to a business trip than they might sound. The Convention Centre sits directly on the downtown waterfront with the North Shore mountains behind it, and unlike Toronto or Calgary, a February event here does not involve sub-zero temperatures.

Vancouver's real distinction is geographic. It is Canada's Pacific gateway, closer to Asia than any other major North American city and in the same time zone band as the US West Coast. For events with significant Asian participation, or for companies working across the Pacific, this is the natural Canadian venue.

The venue

The Vancouver Convention Centre is two connected buildings offering around 466,500 sq ft (43,340 m²) of total meeting, exhibition and ballroom space, of which roughly 311,500 sq ft is exhibition space across six halls — three in each building.

East Building opened as the Canada Pavilion for Expo 86 and sits within Canada Place. It offers about 133,000 sq ft including a 91,000 sq ft column-free exhibition hall, 20 meeting rooms and a ballroom.

West Building opened in 2009 and is the architectural one — a six-acre living roof, the largest in Canada, planted with indigenous species and home to beehives. The building uses seawater for heating and cooling. It holds LEED Platinum certification, among the first convention centres in the world to do so, and the Centre has twice won the international association APEX award for world's best convention centre.

For exhibitors: there are 22 loading bays across both buildings, with drive-on access to the West exhibition halls — unusually good logistics for a downtown venue where load-in is normally the constraint.

One thing worth knowing: the East Building shares Canada Place with a working cruise ship terminal. During the May-to-September cruise season the area around the venue is busier than the event alone would explain, and taxi ranks fill on turnaround days.

Getting there

From Vancouver International (YVR): the Canada Line SkyTrain runs from the airport to Waterfront Station in under 30 minutes, and Waterfront is a short walk from the Convention Centre. There is a supplementary airport fare added to the standard ticket, but it remains far cheaper than a taxi and considerably more predictable.

YVR is Canada's main Pacific hub, with the country's best selection of direct routes to Asia — Tokyo, Seoul, Hong Kong, Beijing, Shanghai, Taipei, Manila and others. If you are travelling from the Asia-Pacific region, flying into Vancouver rather than Toronto typically saves several hours.

Around the city: Waterfront Station is the hub for the Canada Line, the Expo Line, the SeaBus ferry and bus routes. A Compass Card or contactless payment covers all of them. Downtown Vancouver is compact and genuinely walkable — for most trips between hotel, venue and restaurants you will not need transit at all.

From other Canadian cities: Calgary is about 90 minutes by air, Toronto over five hours and three time zones away. Passenger rail exists but is a multi-day scenic journey rather than transport. Vancouver is far from the rest of Canada, and schedules should reflect that.

Where to stay

Downtown Vancouver is small enough that most central hotels are within walking distance or one SkyTrain stop of the venue.

• Coal Harbour and around Canada Place: Closest to the Convention Centre, some hotels literally adjacent. The easiest option if it fits your budget.
• Downtown core (around Burrard, Robson, Granville): The widest selection, all within a 10–15 minute walk of the venue, with restaurants and shopping around you.
• Yaletown: Slightly south, good restaurants, a short SkyTrain ride or 20-minute walk.
• Richmond (near YVR): Cheaper, on the Canada Line, and home to the best Chinese food in North America by most accounts. About 25 minutes from the venue — worth considering if downtown rates are prohibitive.

A frank warning about cost: Vancouver is the most expensive city in Canada for accommodation, and this is true year-round rather than just during events. Rates that would be exceptional in Calgary are ordinary here. Book early, and treat Richmond or Burnaby as genuine alternatives rather than compromises — both are on rapid transit.

Entry

Most visa-exempt travellers arriving by air need an eTA (Electronic Travel Authorization), applied for online in a few minutes. Do this before booking flights — approval is usually immediate but not guaranteed.

Other nationalities need a visitor visa, which takes weeks. Apply early and ask the organiser for a letter of invitation.

If you are exhibiting, look into the ATA Carnet for temporarily importing display materials and samples — it saves duties and border time.

One practical note for Asia-Pacific travellers: YVR is accustomed to high volumes of transpacific arrivals and processes them efficiently, but arrival banks cluster in the afternoon. If your flight lands mid-afternoon, allow extra time.

Weather — the opposite of the rest of Canada

Vancouver does not have a Canadian winter. Temperatures rarely drop far below freezing, snow in the city is occasional rather than routine, and the mountains take most of it.

What it has instead is rain. From roughly November through March it rains persistently — not dramatically, but constantly, often for days at a time. Locals do not use umbrellas so much as waterproof jackets and simply carry on. A winter trip here needs different preparation from one to Toronto or Calgary: waterproof shoes matter more than a heavy coat.

The upside is that a February event in Vancouver involves no flight cancellations from snowstorms and no unpleasant walk between hotel and venue. For winter conferences, this is a genuine practical advantage over eastern Canada.

Practical notes

Currency is the Canadian dollar; US dollars are generally not accepted despite the border being 45 minutes south. Cards work everywhere.

Tipping is 15–20% in restaurants and the terminal will prompt you.

Sales tax in British Columbia adds around 12% at the till, not shown on the price tag.

Time zone matters here. Vancouver is Pacific time — three hours behind Toronto, eight behind London, and roughly aligned with the US West Coast. If you are joining calls with colleagues in Europe during your trip, the mornings are the only workable window.

Vancouver is unusually easy to extend a trip in. Stanley Park is a short walk from the Convention Centre, Grouse Mountain and the North Shore are twenty minutes away, and Whistler is under two hours by road. Few trade fair cities put mountains, ocean and a walkable downtown in the same place.
